RECEPTION AND BOOKINGS COORDINATOR - Part Time
Reception and Bookings Coordinator
Part Time, Zero Hours Contract
Clyne Farm Centre, Swansea
We are recruiting for someone confident, organised, and experienced in customer service or administration to join our small team at Clyne Farm Centre. You’ll be the first point of contact for our holiday cottage guests, horse riders, and activity visitors, helping ensure the Centre runs smoothly day to day.
This is a responsible role for someone who enjoys a varied day, can stay calm under pressure, and is as comfortable solving practical problems as they are handling administrative work. It requires accuracy, good judgement, and confidence in managing a steady flow of enquiries.
Shifts Available
- Fridays and Saturdays are essential.
- Sundays may also be available depending on team changes.
- Additional weekday shifts during school holidays and to cover staff leave.
- Most weeks will offer two shifts, with additional hours available during peak seasons.
- Shifts are usually around 8 hours, usually 9am to 5pm. This includes a 30-minute unpaid break for every 6 hours worked, meaning 7.5 paid hours for a typical shift. Exact hours may vary slightly as you will sign in and out for each shift.
What You’ll Be Doing
- Handling customer enquiries by phone, email, and in person.
- Processing bookings and payments.
- Managing cottage guest queries and simple practical issues.
- Prioritising workload so urgent tasks are completed promptly.
- Maintaining accurate records and keeping booking systems up to date.
- Providing clear and consistent handovers to the wider team.
- During quiet times, you may be required to complete basic daily checks/feeding of our horses and other animals.
- Supporting the smooth running of the Centre day to day.
Once fully trained, you will work independently in Reception for many of your shifts. Other staff will be onsite in different departments, and you will have clear procedures to follow and support available if needed.
The role is hands-on. Sometimes you’ll be out helping a guest find their cottage, opening up or checking a barn for a wedding, moving furniture, or sorting small practical issues around the site.
Optional Progression
- Once established and confident in the Reception role, there is an optional opportunity to train as an Activity Instructor.
- This is entirely secondary to the core role and only offered to those who are interested.
- Typical sessions include Challenge Valley, team problem solving, and supporting group activities.
What We’re Looking For
- Strong administrative and customer service experience, ideally gained in a busy or customer-facing environment.
- Experience with bookings or reservations systems is an advantage.
- Calm and organised approach during busy periods.
- Strong attention to detail and accuracy in all administrative tasks.
- Comfortable handling detailed administrative work and managing multiple enquiries at once.
- Confident using booking systems or similar software.
- Proven ability to keep customers informed and satisfied.
- Good judgement when prioritising competing tasks.
- Steady and methodical working style to ensure nothing is missed.
- Flexible mindset and willingness to adapt to varied tasks.
- Availability on weekends and during school holidays is essential.
Useful but Not Essential
- Experience in tourism, hospitality, holiday lets, or activity centres.
- Local knowledge of Swansea, Mumbles, and Gower.
- Driving licence and access to a car, to support our nearby Woodland Cottages and our sister site The Dylan Thomas Birthplace.
